A real apology has three parts and only three: name what you did, show you understand the effect it had, and say what you will do differently. Everything else weakens it.
Writing rather than speaking lets the other person read it without having to manage your face. That is a genuine kindness when you are the one who caused the hurt.
Timing matters more than people expect. A letter sent within hours can read as an attempt to close the subject before the other person has finished feeling it; one sent weeks later can read as an afterthought. If you have taken time, say so in the letter — "I waited because I wanted to understand it properly first" is an honest and legitimate sentence.

What to say in a apology letter

One thing to skip: Avoid the word "if". "I'm sorry if you were hurt" undoes the entire letter. Also avoid explaining yourself before apologising — reasons read as excuses when they come first.

Why it works: The first version apologises for their reaction and quietly blames a temperament. The second names the act and what it cost, which is the only version another person can actually accept.

How do I write a sincere apology letter?
Name the specific thing you did, acknowledge the impact without minimising it, take responsibility without listing reasons, and say what will be different. Do not ask for forgiveness in the same breath — let them arrive at that themselves.
Should I explain why I did it?
Only if they have asked, and never in the first half of the letter. Context that arrives before accountability reads as defence. If you must include it, put it at the end and label it: "This is not an excuse, but you asked what was going on."
What if they do not reply?
That is their right, and the letter still did its job. An apology conditional on being forgiven was never an apology. Send it, say plainly that you are not owed a response, and mean it.
Should I apologise in writing or in person?
A letter gives the other person space to react honestly and re-read it once the sting has faded. Many people send the letter first, then talk.
